After finalising your assignment, you can schedule a timeslot. The availability of the assignment can be set for all learners, specific learners, groups or classes, or no one. There's also the possibility to add multiple learners, groups and classes to a single timeslot by selecting all of them when scheduling a timeslot.
Schedule an assignment
Schedule an assignment
An assignment can be scheduled by creating a timeslot. In this timeslot, you allocate a date and time, and add the students that need to take the test. Additionally, it is possible to add a location and access code to secure the timeslot.
To schedule an assignment, follow the steps below.
- Navigate to your assignment.
- Click play_circle_outline Taking in the menu at the top.
- Click New timeslot.
- Select a specific day or a date range.
- Fill in the start time and the deadline.
- Optionally, select one or multiple location(s). Participants can only take the test from the set locations.
- Select the participants to add to the timeslot. This can be specific learners, groups, or classes, or all learners added to the course.
- Optionally, set a time limit. The time limit applies to all participants. The time limit ends with the timeslot's deadline. Unused time does not extend it.
- Optionally, set the extra time. This only applies to learners with the right to extra time. The extra time will be added to the timeslot's deadline or time limit.
- Click Create.
Timeslots can be edited after creating one. This is also possible if the timeslot is active. This can be used in case a student was too late with enrolling, but still requires access to the test. Please note that any adjustments to the timeslot directly impact participants taking the test. Deleting a timeslot automatically submit all participants that are busy with their test.
After creating a timeslot, it is possible to add an access code.
- Click on the more_vert -icon next to the timeslot.
- Click Require access code.
A random access code is created. Participants need to enter this access code to start with their test. A new code can be generated by clicking on the sync -icon. To disable the access code, click Stop requiring access code.
Access to the assignment
Access to the assignment
Students can only see and start an assignment if there is an allocated timeslot. If a timeslot has not yet been allocated, the assignment will not be visible in the students' overview of scheduled assignments.
If a student is part of more than one group, Ans will assign them to the most favourable timeslot. In most cases this is the longest one. For example, if one of the timeslots is from 9:00 - 12:00 and the second one is from 08:30 - 12:30, and the student is a member of both groups, they will have access to the assignment from 08:30 - 12:30. This could be affected by setting a time limit, more information on that can be found below.
Alternatively, if a student is part of a longer and shorter timeslot wherein the longer timeslot has already passed, but the shorter timeslot is scheduled at a later point, the student will have access to the shorter timeslot and will be able to start their assignment. This works identically if a student is part of a group and a class with different timeslots scheduled. When taking an assignment, a student is able to see all the timeslots they are assigned to but are not able to select which timeslot they partake in, as that is delegated by the system.
Time limit
Time limit
A time limit can be set for your assignment. When the start and end times are set at 09:00 and 12:00 respectively and the time limit is set at 120 minutes, the students are able to start the assignment between 09:00 and 12:00, with a maximum time limit of 120 minutes. The student is not able to submit any more answers after 12:00, even if the time limit is not reached yet.
If the student exits the assignment without clicking submit, the time limit will continue to count down. If the time limit expires, the assignment will be submitted automatically.
Only learners with the right to extra time are allowed to continue after the deadline or the time limit, if extra time is allocated in the timeslot.
Countdown timer before a digital test
Countdown timer before a digital test
The countdown timer will let participants know how long they need to wait until they can access their digital test. The countdown timer will be visible one hour before the start of a participant's timeslot for all digital tests.
Once the timer runs out, the page will refresh and the start button will appear. The start button will not be locked if the integrations (Proctor Exam, Proctorio and Safe Exam Browser) are enabled for the test. Participants can launch integrations beforehand and wait until the countdown is finished. For Secure Test Environment Protocol (STEP), you can only start once the STEP stick is plugged in.
Extra time
Extra time
There are different ways to accommodate students who are entitled to extra time.
One option is to create a group for students who are entitled to extra time. You can then create a separate timeslot for this group with a longer duration, while creating a standard timeslot for all other students. If different groups of students require different testing times, you can create multiple groups and corresponding timeslots.
Alternatively, you can assign the right to extra time directly to individual students. If these students are scheduled in the same timeslot as students without this right, you can enter a value in the 'Extra time' field when creating the timeslot. Only students who have been granted the right to extra time will receive the additional time. Students without this right will complete the test within the regular timeslot duration.
error_outline Ans checks two times every hour if the deadline has passed or if the time limit has expired. However, this does not mean that students can submit answers after the deadline as this will automatically trigger the result to be submitted.
