After you have set up the Canon integration, you can make use of the integration by using the Canon exam services. This article will explain connecting a written assignment in Ans to a Canon case. A Canon case is the equivalent of an assignment in Ans.
The main flow of the integration consists out of the following steps. In this article every step is explained.
- Create a written assignment in Ans.
- Create a Canon case.
- Link the assignment to the case.
- Prepare the assignment for print production.
After following these steps the assignment can be administered on paper. Depending on the agreements you have with Canon, you or Canon will scan the assignments and upload all files to Ans.
Create a written assignment in Ans
In order to setup the integration between an Ans assignment and a Canon case, both will need to be created. You can also create the Canon case first before creating the assignment in Ans. There is no specific order required. To create a written assignment, follow the steps below.
- Click domain School name in the menu on the left.
- Click label_important Courses in the menu at the top.
- Select your course or use the search bar.
- Click on New assignment and fill in the name of the assignment.
- Select Written assignment and click Create.
- Optionally, click the dropdown menu No template and choose a template.
If you have enabled the option to filter cases on course code, you will need to set the course code in Ans. The course code needs to be exactly the same as the course code set in Canon exam services. In Canon, this field is called Subject code. If you create a new course, the course code can be set via the pop-up menu. To set the course code of an existing course in Ans, follow the steps below.
- Click domain School name in the menu on the left.
- Click label_important Courses in the menu at the top.
- Select your course or use the search bar.
- Click settingsSettings in the menu at the top.
- Enter the course code in the Course code field.
- Click Update.
Create a Canon case
As mentioned above, you need a Canon case before you can connect it to the assignment in Ans. It is possible to create the Canon case before creating the Ans assignment. To create the Canon case, login to your Canon exam services application via https://www.examservices.nl/. If you have enabled the option to filter on cases on users email address, you will only see the Canon cases in Ans if the email address in Ans is the same as the email address which you use to login to Canon. After logging in, follow the steps below to create a Canon case.
- Click Create new Exam.
- A screenshot of the screen that appears have been provided below. The following fields are mandatory to fill in: Subject name, Subject code, Exam type (should be on Paper), Date, Start time and End time.
- At the bottom of the menu, add at least one location to the exam. Click Add under the menu Intake locations and select the location of your choice. Make sure you have locations added in the Canon exam services portal.
- All other fields are not mandatory to fill in before you can link the Ans assignment to the case, but might be mandatory by your school, for example Cost center.
- Click Next.
The Canon case has now been created. You will automatically be redirected to the Upload content page in the Canon exam services portal. You can now link the assignment from Ans to the case.
Link the assignment to the case
To link the Ans assignment to the Canon case, you need to go to your Ans assignment by following the steps below.
- Click domain School name in the menu on the left.
- Click label_important Courses in the menu at the top.
- Select your course or use the search bar.
- Click on your written assignment
- In your assignment preview, click on bookmark_borderExam services
- You will now see an overview of the cases. Depending on the selected filter, you will see all cases with the exact same course code or you will see all cases which were created by the same email address as you are using in Ans.
- Select the case or use the search bar.
- Click Upload.
The assignment has now been linked. You can continue the process in Canon exam services by finishing the preparation before the assignments are printed. Canon offers the possibility to approve and disapprove an assignment. In the Canon exam services portal this is done by creating revisions of the assignment. If you want to make changes to your assignment, you can follow the steps mentioned above again. Each time you click Upload a new revision is sent to Canon.
Prepare the assignment for print production
The last step in the process before printing the assignments is done in the Canon exam services portal. Navigate to your exam which you have created in Canon exam services. You should be redirected to the menu Upload content automatically. Under the submenu Documents to process you can see that the linked Ans assignment is visible. Follow the steps below to finish the preparations.
- View the assignment by either double clicking on the assignment or by clicking once and click on View afterwards. The Process document menu will appear.
- In the menu that appears you can check the exam as the preview is available on the right side. Fill in all required information. In the screenshot below you can see an example of the information that needs to be provided.
- Click Process & Done to save your changes.
- In the menu, the status icon should indicate a green checkmark, which means that the document has been approved.
- Click Approve for production.
Your assignments will now be printed by Canon. The exact service levels regarding delivery locations and times can be provided to you by your contact person at Canon.
